Purpose and responsibilities

Reporting to the Manager of Projects and Learning within the Information Technology Department, the Project Manager coordinates and supports the planning and delivery of medium to large and moderate to complex information technology and technology learning initiatives to the Hospital. These projects cross different IT Teams and other Institute programs.  The project manager will oversee the end-to-end delivery of assigned projects and ensure they are delivered within scope, budget, and requirements.

Key responsibilities

  • Project Planning: Defining project scope, objectives, and deliverables. Creating detailed project plans, schedules, and timelines.
  • Resource Management: Allocating resources, including team members, budget, and equipment. Ensuring optimal use of resources throughout the project. Examining and reviewing client requests for changes during project development and/or implementation and providing input to contribute to the development of options and solutions that can be planned and implemented.
  • Team Leadership: Leading and motivating the project team. Facilitating communication and collaboration among team members. Maintaining knowledge of project status and issue resolution. Resolving issues that arise between project teams and client groups, and where necessary, escalates to the manager for resolution.
  • Risk Management: Identifying potential risks and developing mitigation strategies. Monitoring and managing risks throughout the project lifecycle.
  • Stakeholder Communication: Communicating with stakeholders, including clients, team members, and senior management. Acting as a liaison to various project teams to ensure the lines of communication remain open and inclusive. Facilitates meetings. Providing regular updates on project status and progress. Identifying the project's communication needs and developing the necessary communication plans and products for the internal target audience.
  • Research and Analysis: Researching possible solution concepts, designs and others for project implementation and reconfiguring projects assigned. Conducting research to assist in evaluating best practices.
  • Quality Assurance: Ensuring that project deliverables meet quality standards. Conducting regular reviews and testing to maintain quality.
  • Budget Management: Managing the project budget. Tracking expenses and ensuring the project stays within financial constraints.
  • Issue Resolution: Addressing and resolving any issues or conflicts that arise during the project. Implementing solutions to keep the project on track.
  • Documentation: Maintaining comprehensive documentation related to projects and training initiatives. Ensuring all project information is accurately recorded and accessible. Developing and enacting communication, training, and training materials as required as part of project deliverables.
  • Project Closure: Completing project deliverables and obtaining stakeholder approval. Conducting post-project evaluations and documenting lessons learned.

Requirements

  • Bachelor’s degree in a related discipline or a health-related field.
  • Master’s in business administration (MBA) is considered an asset.
  • Project Management (PMP) designation considered an asset.
  • Advanced proficiency with computer applications: Microsoft Office applications, along with the ability to quickly learn new applications.
  • Proficiency with Asana project management software.
  • 5 years of relevant experience in project management or coordinating long-term, cross-functional projects.
  • Knowledge of the theories and principles of project management, including risk management and governance.
  • Experience in a healthcare environment is preferred.
  • Experience in managing projects, championing change and adaptability to changing environments, building relationships and managing expectations with project teams, applying project management phases and best practices, including developing project budgets, facilitating the definition of goals and resources and evaluation.
  • Experience working in project management leading roles, guiding diverse multi-functional teams.
  • Experience in preparing and delivering presentations, report writing and developing communication and training material.
  • Creating long- and short-term plans, including setting targets for milestones, adhering to deadlines and allocating resources.
  • Work with the IT Leaders on delegating tasks of the project to staff best positioned to complete them.
  • Making effective decisions when presented with multiple options for how to progress with the project.
  • Serving as a point of contact for teams when multiple units are assigned to the same project to ensure team actions remain in synergy.
  • Performing quality control on the project throughout development to maintain the standards expected.
  • Motivating people involved in the project to complete tasks on time.
  • Develop, deploy, and manage training programs and documentation associated with new and existing IT-managed systems and tools.
